HR Specialist & Executive Administrative Coordinator

Position Summary


This role combines core human resources responsibilities with high-level administrative support to the General Manager. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, evolving environment. You will play a critical role in supporting organizational growth, enhancing employee experience, and ensuring smooth executive operations.


Key Responsibilities

  

Human Resources (Primary)

  • Manage end-to-end recruitment processes, including job postings, candidate screening, interview coordination, and onboarding.
  • Maintain employee records and ensure compliance with federal, state, and local labor laws
  • Administer HR policies, procedures, and employee handbook updates.
  • Support performance management processes and employee engagement initiatives
  • Coordinate training and development programs.
  • Handle employee relations matters with professionalism and confidentiality.
  • Assist with payroll coordination, benefits administration, and HR reporting.


Administrative Support to General Manager (Secondary)

  • Provide high-level administrative support to the GM, including calendar management, meeting coordination, and travel arrangements.
  • Prepare reports, presentations, and internal communications on behalf of the GM.
  • Assist in tracking key business initiatives and follow-ups across departments.
  • Support executive meetings, including agenda preparation, minutes, and action tracking.
  • Act as a liaison between the GM and internal/external stakeholders.
  • Handle confidential business information with discretion.


Qualifications:


  • Bachelor’s degree in Human Resources, Business Administration, or related field.
  • 3 years of experience in HR and/or executive administrative roles, preferably in biotech, life      sciences, or a fast-growing startup environment.
  • Strong knowledge of HR best practices and employment regulations.
  • Excellent organizational, multitasking, and time-management skills.
  • Strong interpersonal and communication skills.
  • High level of integrity and ability to handle sensitive information.
  • Proficiency in HRIS systems and Microsoft Office Suite.


Preferred Qualifications

  

  • Experience in a high-growth biotech or healthcare company
  • Familiarity with multi-state HR compliance (U.S.)
  • Experience supporting C-level executives
  • Bilingual (e.g., English/Mandarin) is a plus
